How we collect, use and protect your personal information.
Who we are

What we collect
When you use a form on this website, book a consultation or get in touch, we may collect:
- your name, email address and phone number
- the details you give in an enquiry, a booking request or a Three to Follow entry
- videos, photos or documents you send for a consultation
- notes made during or after a consultation
- emails and other messages between us
- payment records (we never see or store your full card details)
We only collect what we need to reply to you and provide our services.
How we use it
- to reply to enquiries about ownership, shares, visits and consultations
- to arrange and provide online consultations, including reviewing any videos you send
- to take payments and keep appointment records
- to run the Three to Follow competition, including emailing you a confirmation of your entry and publishing the winners’ names on this website
- to contact you about your booking or with follow-up information you’ve asked for
- to meet our legal, tax and accounting obligations
Our lawful basis
Under UK data protection law, we use your information because it’s needed to provide a service you’ve asked for, because we have a legitimate interest in running our business, because the law requires it (for example, tax records), or, where needed, because you’ve given consent.
Who we share it with
We don’t sell your personal information. We only share it where necessary with:
- our website hosting provider, which sends website form messages to our email and keeps a backup copy of Three to Follow entries
- Google Workspace, which provides our email and the spreadsheet we keep Three to Follow entries in
- our web developer, who looks after this website and the Three to Follow entries spreadsheet
- our payment provider, when you pay for a consultation or a Three to Follow entry
- video-calling services such as Zoom or Google Meet, for consultations
- professional advisers, accountants or insurers where required
- legal or regulatory authorities if the law requires it
Keeping it safe
We use secure passwords, two-factor authentication where available, secure cloud systems, encrypted website connections (HTTPS) and regular software updates, and we restrict who can access your information. No online system is completely secure, but we take reasonable steps to protect your data.
How long we keep it
- Enquiries: only as long as needed to deal with your enquiry, unless you become an owner or client.
- Consultation records: up to 7 years, for business and legal purposes.
- Videos and documents you send: deleted once they’re no longer needed for your consultation, unless you ask us to keep them or the law requires it.
- Three to Follow entries: until the competition has finished and the prizes have been awarded, then deleted. Entries that aren’t paid for are deleted after a week.
- Financial records: kept as required by UK tax law.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent where we rely on it. To make a request, email jo@jodavisracing.com.
Payments
Three to Follow entry fees are paid through Stripe’s secure checkout. Stripe handles your card details, and we never see or store them.
Cookies
This website doesn’t use cookies, analytics or tracking. Everything on it, including photos and fonts, is served from our own web hosting, so your visit isn’t shared with other companies.
The one exception is the video on the yard page. It only loads from YouTube if you press play, and YouTube may then set its own cookies, as described in Google’s privacy policy.
Other websites
Links to Racing Post, Timeform, Facebook, Instagram, TikTok, YouTube and Google Maps take you to other websites with their own privacy policies.
Complaints
If you’re unhappy with how we’ve handled your information, please contact us first so we can put it right. You can also complain to the Information Commissioner’s Office, the UK’s data protection regulator.
